Request Student Music Reimbursement

The Bay Port Music Association (BPMA) Student Music Reimbursement Program is intended to encourage and support the individual musical growth and development of students enrolled in Bay Port High School band, choir, and orchestra programs.
The program provides partial financial assistance for qualifying educational opportunities that supplement regular school music instruction and directly contribute to a student's musical knowledge, technical proficiency, or performance skills.

The program is designed to support the development of the individual musician, rather than subsidize the general expenses associated with participation in school-sponsored music programs or group activities.

Eligible Reimbursement Expenses

Eligible expenses must primarily support an individual student's musical education, skill development, or ability to participate in continued musical instruction.

Examples of eligible expenses include:

  • Private Music Lessons: Individual instrumental or vocal instruction provided by qualified instructors.

  • Music Camps and Clinics: Educational camps, clinics, workshops, and masterclasses that provide structured musical instruction and skill development.

  • Instrument Maintenance and Repairs: Necessary maintenance or repairs to an instrument used in the student's music education.

  • Specialized Music Instruction: Individual educational opportunities involving music theory, composition, conducting, audition preparation, or advanced performance techniques.

  • Additional Music Enrichment: Other comparable educational opportunities that directly benefit the student's individual musical development, subject to Director and BPMA approval.

Ineligible Reimbursement Expenses

The reimbursement program is not intended to cover general participation costs, school-sponsored group travel, recreational experiences, or expenses that do not directly contribute to individualized musical education.

Examples of ineligible expenses include:

  • School-Sponsored Group Trips: Performance tours, festival trips, destination trips, and other organized ensemble travel, regardless of whether musical performances or educational activities are included.

  • Travel-Related Expenses: Transportation, airfare, lodging, meals, and other travel costs associated with school-sponsored group activities.

  • Trip Payments and Fundraising Obligations: Deposits, installment payments, fundraising commitments, and other costs associated with school-sponsored trips.

  • General Program Expenses: Band, choir, or orchestra participation fees, activity dues, and routine program expenses.

  • Uniforms and Attire: Performance clothing, uniforms, footwear, costumes, and personal accessories.

  • Instrument Purchases and Rentals: The purchase, rental, or upgrade of musical instruments.

  • Entertainment and Recreation: Admission tickets, sightseeing, entertainment activities, and other primarily recreational experiences.

  • Previously Funded Expenses: Costs already covered or reimbursed through scholarships, grants, or other assistance programs.

The examples above are illustrative and are not intended to represent an exhaustive list of eligible or ineligible expenses.

Reimbursement Limits

Reimbursement is limited to:

  • Up to 50% of the submitted eligible receipt amount.

  • Maximum of $250 per student per academic year.

  • Maximum lifetime reimbursement of $1,000 per student during their academic attendance.

BPMA also maintains an annual reimbursement limit of $3,000 for all students combined.

All reimbursements are subject to program guidelines, available funds, and final BPMA

approval.

Definition of a Reimbursable Event

For purposes of this program, a reimbursable event is a distinct educational activity, instructional program, or qualifying instrument maintenance or repair expense.

The following guidelines apply:

  • Private Lessons: A series of recurring private lessons purchased, scheduled, or invoiced together is considered one reimbursable activity. Individual lessons within that series may not be submitted separately to circumvent the per-event reimbursement limit.

  • Music Camps and Clinics: A camp, clinic, workshop, or similar instructional program is considered one event, regardless of the number of days or instructional sessions included.

  • Instrument Maintenance and Repairs: Repairs or maintenance performed as part of a single service appointment or related repair project are considered one reimbursable event.

  • Related Expenses: Multiple charges associated with the same educational activity may be combined and treated as one event when determining reimbursement eligibility and limits.

BPMA reserves the right to determine whether multiple expenses constitute a single reimbursable event to ensure consistent application of program limits.

Application and Approval Process

To request reimbursement, a parent or guardian must complete the electronic request form below.

The request will be reviewed by the appropriate music director, who may approve it, reject it, or request additional information based on the nature of the proposed expense and its alignment with the program's educational purpose.

After director approval, the parent or guardian will receive instructions for submitting the receipt.

BPMA will then:

  1. Verify the submitted documentation and eligible expenses.

  2. Confirm that the request complies with program guidelines.

  3. Apply the individual, per-event, lifetime, and annual program reimbursement limits.

  4. Determine the final reimbursable amount.

  5. Process payment for approved reimbursements.

Submission of a request or approval by a music director does not guarantee reimbursement. All reimbursement requests remain subject to BPMA's final review and approval.

Relationship to Other BPMA Financial Assistance Programs

The Student Music Reimbursement Program is separate from any other financial assistance, fundraising, scholarship, or student support initiatives administered by BPMA.

Expenses associated with school-sponsored group trips, ensemble travel, or general program participation are not eligible for reimbursement under this program, even when those activities provide educational or performance opportunities.
Families seeking assistance with expenses outside the scope of this program may inquire about other BPMA assistance opportunities, if available.

The existence of this reimbursement program does not establish eligibility for, or guarantee access to, financial assistance through any other BPMA program.

Program Interpretation and Administration

Eligibility is determined by the primary purpose of the expense and its direct contribution to the individual student's musical education and skill development.
An expense is not automatically eligible simply because it is associated with a school music program, involves a musical performance, or includes an educational component.

BPMA reserves the right to approve or deny reimbursement requests based on the established purpose of the program, the nature of the expense, available funding, and consistent application of program guidelines.

Requests for expenses not specifically identified in the examples above will be evaluated individually to determine whether they align with the program's intended purpose.
